Practical InformationDate and Place of the SchoolThe 8th CERN – Latin-American School of High-Energy Physics will be held from 4 to 17 March 2015 in Ibarra about 2 hours drive from the international airport of the capital city, Quito. All the participants will be housed in the Hacienda Chorlavi that also provides the conference facilities for the lectures and discussion sessions. The hotel is situated in beautiful grounds, just outside the town of Ibarra. The hotel has sports and leisure facilities that will be available to the participants, including a swimming pool, tennis courts, and a football field. General information about Ecuador may be found from here. AccommodationThe students, faculty and staff of the School will be lodged in the Hacienda Chorlavi. Students will share twin rooms. Please note that the rooms will be allocated by the Organizers, mixing students of different nationalities. Some photographs of the hotel are shown below. The lecture hall and the rooms for the discussion sessions are situated in the hotel complex. Breakfast, lunch and evening meals will be served in the restaurant of the hotel. There is a bar where participants will be able to purchase drinks in the evenings. Free wireless internet will be provided for all participants, but please note that the bandwith will be very limited and coverage may be restricted to certain public areas of the hotel. Travel ArrangementsStudents who are selected to attend the School should arrange to arrive in Ibarra for registration during the afternoon or evening of Wednesday 4 March 2015. The school will end on the morning of Tuesday 17 March after breakfast. On the day of arrival a bus transfer will be organized between CostThe cost of the School will be about CHF 1400 per student, and will cover tuition, board and lodging from dinner on Wednesday 4 March to breakfast on Tuesday 17 March 2015, as well as coffee, tea or cold drinks during the morning and afternoon breaks, in addition to some social activities. The fee does not include travel expenses from participants' home institutes to Quito and back, visa fees (where required) or the cost of insurance covering illness and accidents that is required for all participants. Thanks to support from funding bodies in Ecuador, in addition to CERN and CIEMAT, it will be possible to fully or partly cover the school fees and/or travel expenses for some of the Latin-American students who otherwise would not be able to attend the School. However, since the central funds are limited, we hope and expect that a majority of the institutes will be able to cover, fully or at least partially, the expenses of their students. This will allow the School to contribute the fees and/or travel costs for the largest possible number of Latin American students who are not able to obtain full financial support from their home institutes. Comments on the need for financial support should be given at the end of the application form. Students who are not from Latin America are normally expected to have the school fees and travel cost covered fully by their institutes, although exceptions could be made for well-motivated cases from developing countries outside of Latin America. Details concerning the method of payment of the fees will be sent together with the acceptance letters. At the same time, funded students will be informed of the procedures to be followed for making travel arrangements and applying for visas (where required). LanguageThe working language of the School will be English. Participants must therefore have a good understanding of English to enable them to benefit from the School. ProceedingsThe School Proceedings will be published as a CERN Yellow Report. Each participant is entitled to one copy free of charge (on request). Proceedings from earlier schools are available (see Previous Schools). |
